Adding Online Registration and Payment to a Training Provider's Website

A training provider kept its existing website but gained class schedules, online registration, payment, and automatic confirmations, replacing a manual process of forms, bank transfers, and spreadsheet checks.

Background

A professional training provider already had a website that described its courses well. Registration, however, happened outside it: prospective participants filled in a Google Form, transferred money to a bank account, and sent the receipt on WhatsApp. Admins matched transfers to names in a spreadsheet, confirmed seats by hand, and often only discovered a class was full after accepting payment.

Challenges

  • Registration, payment, and confirmation happened across three disconnected tools.
  • Admins matched bank transfers to participants manually from receipt screenshots.
  • Class capacity was tracked by hand, so popular classes were sometimes overbooked.
  • Participants waited hours or days for confirmation and joining details.

Objectives

  • Keep the existing website and content, and add features rather than rebuild.
  • Show live class schedules with remaining seats on each course page.
  • Let participants register and pay online in one flow.
  • Send confirmations, invoices, and reminders automatically.
Solution

Instead of replacing a site that worked, we extended it. Each course page now shows upcoming classes with live seat counts. Participants register and pay through a payment gateway in a single flow, seats are held during checkout, and a webhook confirms the payment. Confirmation emails, invoices, and pre-class reminders are sent automatically, and admins see every registration in a simple dashboard.

Implementation

  1. 01
    Flow mapping

Mapped the existing registration steps with the admin team and agreed what to automate and what to keep manual.

  2. 02
    Schedules & seats

Added a class schedule model with capacity and showed upcoming classes and remaining seats on course pages.

  3. 03
    Registration & payment

Built the registration form and payment gateway integration, with seat holds and webhook-based confirmation.

  4. 04
    Notifications & admin view

Automated confirmations, invoices, and reminders, and gave admins a dashboard and CSV export of participants.

Architecture overview

  • Existing website extended with new schedule and registration components
  • Payment gateway integration for virtual accounts, e-wallets, and cards
  • Webhook handler that confirms payment and releases expired seat holds
  • Automated email confirmations, invoices, and class reminders
  • Admin dashboard with participant lists and CSV export
Business impact

What changed for the business.

  • Participants register, pay, and receive confirmation in one sitting.
  • Admins no longer match transfers to names by hand.
  • Seat counts stay accurate, so classes are no longer overbooked.
  • The original site, content, and search rankings were kept intact.

Lessons learned

  • Enhancing a working site is often faster and safer than replacing it.
  • Seat holds during checkout matter as much as the payment itself.
  • Webhooks, not redirect pages, should be the source of truth for payment.
