A multi-location service business took every booking by chat and phone. Staff answered the same questions about pricing, hours, and availability all day, then manually wrote each appointment into a shared calendar. Double bookings happened, reminders were inconsistent, and after-hours enquiries simply went unanswered until morning.
Challenges
- Repetitive questions consumed staff time that should go to customers.
- Manual calendar entry led to double bookings at busy times.
- No-shows were high because reminders depended on someone remembering.
- After-hours enquiries were lost, and with them the bookings.
Objectives
- Answer routine questions instantly, day or night.
- Let customers book against real availability without staff involvement.
- Send automated confirmations and reminders for every appointment.
- Hand over cleanly to a human for anything the assistant can't resolve.
We built a WhatsApp assistant grounded in the business's own FAQs and pricing that handles enquiries and walks customers through booking. It checks the live calendar for open slots, writes confirmed bookings back, and schedules confirmation and reminder messages. Complex or unusual requests are escalated to staff with the full conversation attached, so nothing restarts from zero.
Implementation
- 01Knowledge base & flow design
Compiled FAQs, pricing, and hours into a grounded knowledge base and designed the booking conversation with staff.
- 02Calendar integration
Connected the assistant to the live calendar with conflict detection so slots can't be double-booked.
- 03Assistant build & guardrails
Tuned the assistant against real chat logs, with confidence thresholds and a clean human-handoff path.
- 04Reminders & rollout
Automated confirmation and reminder messages, then a location-by-location rollout with staff training.
